I work as an Accountant in a private firm.Basically I have to maintain accounts in computers in "Tally 4.5" and "Tally 5.4",which are good Accounting softwares. I also know to maintain accounts in other accounting softwares like "Busy",which is an accounting software from Microsoft.I have been maintaining accounts in this firm for the last 6 years.So I have good experience in accounts management.The firm in which I work deals in purchase and sale of broken rice.Let me tell you in the next paragraph about how I maintain accounts in accounting softwares like "Tally 4.5" for this firm.
The firm purchase rice from various rice traders who sell their goods locally.The party from whom the rice is purchased send their purchase invoice.The purchase invoice includes quality,quantity,weight,rate and the final amount of the rice purchased.Final amount is the amount of money the firm have to pay for the purchase made.Now I am the peron who have to feed the purchase bill in the accounting software.In Tally 4.5 there is an option for every accounting entry.I just have to visit the "voucher entry" form and press "F9" button on the keyboard to feed the purchase bill."f9" button takes me to the purchase register of the accounting software.After that I have to Credit the party account(from whom the purchase is made) and debit the Rice Purchase account with the amount of Rice Purchased to complete the accounting entry.In the "Narration" field I just give the details of the rice purchase made from the purchase invoice.I use "f2" button on the keyboard to change date as different accounting entries may need different dates.
The firm pay the amount of rice purchased to the party by cheque.The firm I work for has a bank account in State Bank of India(SBI) in its name.The bank issue cheque books to make payments.So the firm pay to the purchasing party by cheque.I have to feed these cheque books in the accounting software.I just press "f5" button to make payments.I have to debit the party account(to whom the payment is made) and credit the bank account with the amount of payment made.In narration I have to give the cheque no.The software automatically post these entries in the respective account.
The firm, I work for, sell the rice purchased to parties in Assam,which is a state in East of India.The rice is being delievered to the parties through railway wagons.The sell invoice is being sent to the respective party through the courier and a copy of it is retained here by the firm.Now I have to feed this selling invoice to the accounting software.What I do is that after entering into "voucher entry" I just press "F8" button on the keyword.This takes me to the sales register of the accounting software.There I debit the selling party account and credit the rice sales account with an amount of the quantity of rice sold.In "narration" I just give the full details of the sale made.
The firm receives Demand Drafts in favour of the name of the firm as payment for the rice sold to the parties.These Demand Drafts(DD) are deposited in bank to receive its payment to the company or firm account.I need to feed these DD's in the accounting software.I just press "f6" button on the keyboard of the computer which takes me to the Receipt register.There I have to credit the party account and debit the bank account with the amount of DD received by the party.In "narration" field I just give the details of the DD received.
Sometimes interest is added,for late payment,to the amount of cheque paid to the party for the rice purchased.In that case I have to visit the journal register by pressing "f7" button on the keyboard to complete the accounting entry as I have to debit the amount of interest added and credit the party account with the same amount.Same is the case when labour charge is added or the amount is deducted from the Cheque amount for Dharam Kanta(Dharam kanta is used for weighing the goods in the truck).
Sometimes cash is needed in the firm or company to pay for general expenses.Many a times the cash is withdrawn from bank by a "self" cheque.Or sometimes cash is deposited in bank in case balance is needed in bank account.When cash is withdrawn from bank I have to visit the "Contra" register by pressing the "F4" button on the keyboard to complete the accounting entry by debiting cash account and crediting the bank account for the amount of cash withdrawn.In narration field I just give the cheque number.Its vise versa when cash is deposited in bank account.
The firm also pay cash for general expenses like labour,loading expenses,mess expenses,staff salary,printing and stationary expenses,postage expenses etc.In that case all the cash given is debited to respective expenses account and credited to cash account in the payment register of the accounting software.So again I use "F5" button to enter into the payment register to complete the accounting entry.
Earlier I used to work for a fuel saver company and my work was to track visitors coming on the site and reply to them for any fuel saver product enquiry. That was an easy job for me and they were paying decent amount. The company was actually generating good sales by selling fuel saver products and as result they were able to pay me good amount for my work. But soon their fuel saver work get flopped and they threw me out of the service. Actually they were selling a fake fuel saver product. One day they were caught and the company was sealed and I was also caught but released soon as there was no fault of mine.
